Inventory before you optimize
Lay out the colors you own and separate them into background, outline, skin or warm midtones, cool midtones, and accents. The goal is not to recreate a manufacturer catalog. It is to give the mapper a believable set of choices that can survive a missing bag of beads.
Start with the colors that define the subject. A background can move toward a nearby neutral; an outline that disappears cannot be casually substituted without changing the whole read.
Replace by relationship, not by name
A substitute works when it preserves contrast with its neighbors. Compare lightness and temperature first, then hue. Two blues with different names may be interchangeable in a small sky, while a warm gray and cool gray can separate a face from its background even when their labels sound similar.
For the rocket, keep the deep navy outline, choose the closest owned sky blue, and let the neon orange become a darker coral. The image loses a little glow but gains a palette a builder can finish without a special order.
Export the shopping list as a decision log
After excluding and replacing colors, export the list and save the project version. That gives you a traceable answer to what changed if a new bag arrives later. Do not silently change the palette after you begin placing beads; make a duplicate version instead.
A good owned palette is smaller, explainable, and repeatable. It should reduce decisions at the table rather than move them from the screen into a pile of loose beads.
